Forward vendor bills by e-mail
Bills from suppliers arrive by e-mail. Send them to your company's bills address and they wait in Bills with the PDF kept and the numbers already read. Nothing becomes a bill until you save it.
Open Money, then Bills, then Bills by e-mail.
The card shows your address, bills-<code>@groundflag.com. Tap the copy icon.
Give the address to your suppliers, or forward to it.
Add it as the billing e-mail on your supplier accounts, or set a forwarding rule in your own inbox.
Wait for the bill to show up in Bills by e-mail.
AI reads the first PDF or photo attached (or the e-mail text when there is none): vendor, invoice number, bill date, due date, total and tax.
Tap Open as bill and check it.
New Bill opens with the invoice number, the dates, one line with the total before tax, the tax, the PDF attached and the supplier picked when the name matches one you have.
Save.
The bill is saved as a draft and leaves the e-mail list. Tap the X on an e-mail that is not a bill to dismiss it.
Forwarding from Gmail
Gmail sends a confirmation to the new address before it forwards anything. It shows up in Bills by e-mail as Confirm forwarding: tap it and confirm in Gmail.
Forward only bills to this address. Every e-mail that arrives is read by AI and counts toward your AI usage.
What is read and what is kept
PDF, JPG, PNG and WebP attachments are kept, up to 5 per e-mail and 15 MB together. Other files are left out.
AI never invents a value. A number it cannot read stays empty and the e-mail says Total not read; you fill it in on New Bill.
The same e-mail sent twice shows up once.
Questions
Does a bill get paid or approved automatically?
No. It is a draft until you save it, and approving and paying it work like any other bill.
Can the crew photograph a receipt instead?
Yes. Capture reads a receipt photo the same way; see Receipt to vendor bill.
